Stargazing Live - ONLINE Planning Meeting, Tue 30th November

Postby pbholmes » 30 Nov 2010, 18:42

We will be having our Stargazing Live planning meeting online tonight at 7.30pm, using Windows Live Messenger.

I've emailed my WLM ID to everyone who's expressed interest. If I've missed you out, send me a PM, and I'll add you to the list.

If you're new to WLM, it would be a good idea to try to get yourself online early, so I can help with any teething troubles, then hopefully we can start the meeting proper at 7.30.

Cheers,
Paul.

Paul and Kirsty Holmes begin_of_the_skype_highlighting     end_of_the_skype_highlighting says
everyone - if you are there please just type "yes"
Brian says
yes
Solar B says
yes
Geoff Ruzgar says
oui
Paul and Kirsty Holmes says
Event 1 - Monday 3rd January, Kabin, 4pm - 8pm
Solar B says
ok
Paul and Kirsty Holmes says
Event 2 - Friday 7th January, Kabin, 8pm - 11pm
Geoff Ruzgar says
what event?
Solar B says
ok to event 2
Paul and Kirsty Holmes says
the exact content of the event can wait
but we MUST confirm date, time and venue to Beeb by end of this week
Solar B says
can everyone make both or one event
Brian says
1st programm starts at 8pm on monday - so is 7pm better - or folks miss the fisrt episode
bob says
i am not here for either
Geoff Ruzgar says
monday ok for me fri too and you can record the tv progs
Paul and Kirsty Holmes says
1st event to run 4pm to 7pm (instead of 8pm) - good point
i will record progs
Brian says
events sound good - take it these need to be confirmed to BBC by this friday for inclusion - free publicity
Solar B says
yes
Paul and Kirsty Holmes says
yes
Solar B says
can you confirm them paul
Brian says
prog1 - is themed for scopes - so if event one is bring-a-scope style handon that ties in well, with event2 more dark night observing
Paul and Kirsty Holmes says
neither event can really be deep-sky, due to lights nearby
but it gives us 2 goes at some planetary
Geoff Ruzgar says
so why7 not at the dark site
Paul and Kirsty Holmes says
logistics
Solar B says
we need warmth
Paul and Kirsty Holmes says
getting a load of strangers to the dark site without meeting them first could be a nightmare
Geoff Ruzgar says
loogistics?
Brian says
event2 can be assemble at kabin - observing for little ones - which backs into dark site trip (BP) ?
Paul and Kirsty Holmes says
let's set up something for the dark site later
i think we need to maintain a presence at the Kabin throughout the advertised hours
Brian says
note event2 is subject to weather.... so we cannot gaurentee dark site - so kabin talk/demo/ is good banker - with dark event if pos
Paul and Kirsty Holmes says
otherwise people will turn up halfway through and wonder why we're not there
consider them "open evenings"
Solar B says
how are we going to spread the word
Brian says
how about event2 is 7-8:30 (kabin) and then follows on to dark site if appropriate... as 8-11 is a long time to fill
BBC provide empty middle A3/A4 posters - which we can use to advertise dbastro event1/2
Paul and Kirsty Holmes says
i have ideas for spreading the word, but would rather save that for later
priority is fixing date, time and venue
as we have imminent hard deadline for that
Solar B says
yep
Geoff Ruzgar says
yes but this is ameeting for all to discuss ideas no?
Solar B says
and yes
bob says
has anyone checked the lunar cycle for that night? Moon and jupiter viewing do not need dark site
Paul and Kirsty Holmes says
yes, but date time, venue are the priority, as they MUST be set in stone THIS WEEK
Brian says
sounds good to me so far (date/time venues)
Paul and Kirsty Holmes says
we can tweak the content later, but not the times
Solar B says
can we all agree on venue n times then
Paul and Kirsty Holmes says
we have to nail them down now
Brian says
just the title of the event (Scope Night - Observing Night) ?
we seem to have time and place
Paul and Kirsty Holmes says
3rd January - moonless evening
bob says
pity
Brian says
event1 - 4pm-7pm - kabin - Scope Night
Paul and Kirsty Holmes says
7th January - moon sets about 7pm
Brian says
we can do moon - in 2nd week if we need to ? maybe... with event 3 (Visit to observatory... ?)
just a suggestion
Paul and Kirsty Holmes says
which observatory and what date?

we must fix date time and venue this week
no ifs or but, hard deadline
Brian says
edinburgh ? or could bob have visitors in the week he is back ?
Solar B says
are we all ageed on the times/dates set please
Brian says
yes
bob says
i am happy to host visitors in the third event [ weather  permitting]
Brian says
note: we lost geoff - so need to grab copy of discussion at end and send to all as summary
Paul and Kirsty Holmes says
i think it would be great to have a third event
Geoff Ruzgar says
i'm still here
Paul and Kirsty Holmes says
but if it's to be part of SL, then we have the same deadline
Solar B says
good
Paul and Kirsty Holmes says
we can leave it open for now, must must nail it down this week
Solar B says
id stick to 2 for now
Brian says
any preference for date bob - given needs to be when you back and before 16th Jan for BBC coverage?
bob says
i can make time available chez mois, either for observing, or if the weather is bad, to giv etalk and demo. any date from 10th on, to suit others
Brian says
nice ring to BBC does 3 nights and DBAStro does 3 special event nights
how about fri 14th then ? so we have monday 3rd, fri 7th and fri 14th
Solar B says
i think its a wee bit much for getting peeps in
Brian says
scope night, observing night, observatory visit night
peeps wont come to all - we just need to have series of events which we can cover as a group... 2 people per event min
BBC will advertise any and all events we have in this period - and so we can leverage coverage to papers etc ....
Solar B says
I dont think you will get many takers
if doing 3 nights from the public
Brian says
we could link up with scouts/cubs for one night to gaurentee an audience ?
Paul and Kirsty Holmes says
BobH - do you want your house address appearing in BBC publicity?
Sounds a bit dodgy
Brian says
does the address need to ... wont we meet at the kabin and then go to the observatory ?
Paul and Kirsty Holmes says
link up with scouts/cubs good idea
bob says
i think we may be overreaching, going for 3 events. not sure there is enough local interest.....
Solar B says
i agree
Paul and Kirsty Holmes says
maybe do observatory visit in Feb
Solar B says
yep
Paul and Kirsty Holmes says
so we don't burn out in Jan and no ideas left for rest of winter/spring
Brian says
looks like 2 events is unanimos, 3 a minority - so 2 its is
bob says
i was thinking more of one event at the kabin, and one at my observatory - big bang factor if conditions right
agree that  my address should not be published
Brian says
weather dependant - hence 2 night for observing suggestion as only one likely to succeed... if two thats a bonus
Paul and Kirsty Holmes says
we need to give them definite events
Solar B says
most folk really want to see planets
Paul and Kirsty Holmes says
i don't think they will accept "weather permitting"
Brian says
post xmas - and 3 nights running on BBC (like spring watch - only star watch) who knows who many will attend
they are not actually 'weather permitting' in total - as one in kabin, and one in an observatory.... bonus is we can see real real stars
so both events have coverage in case of poor skies
Paul and Kirsty Holmes says
some of the content can be weather permitting, i.e. we will be here at these times, we'll observe if weather allows and do something else (demos etc) if not
Solar B says
most you will get would be about 15 from previous experience
Paul and Kirsty Holmes says
but either way, we will definitely be in this place at this time
Brian says
agrred
Solar B says
thats all we can do i suppose
bob says
fine by me
Solar B says
cool
Paul and Kirsty Holmes says
so to summarise ...
Event 1 - Monday 3rd January, Kabin, 4pm - 7pm (not 8)
Solar B says
aye
Brian says
yes
bob says
yes
Paul and Kirsty Holmes says
Event 2 - Friday 7th January, Kabin, 8pm - 9pm followed by observatory visit if weather permits
Brian says
yes
Solar B says
aye
Geoff what say you sir
Geoff Ruzgar says
not a lot
Paul and Kirsty Holmes says
we can't get kabin any earlier than 7.45 on the Friday - i've checked
Solar B says
have you turned into paul daniels
Geoff Ruzgar says
no not him
Solar B says
pity debbie mcgees still nice
Brian says
i have to go soon -....(
Solar B says
me to
Paul and Kirsty Holmes says
ok - anything else ON TOPIC before we close?
bob says
that's all for me
Solar B says
nope
Brian says
book dates with BBC and time for the publicity to progress things..?
Paul and Kirsty Holmes says
yes
need to get solid booking with Kabin first, to avoid complications
Brian says
ok bye bye
Solar B says
well its goodnight from me
Paul and Kirsty Holmes says
but i will give dates to beeb by end of week
geoff?
Geoff Ruzgar says
dissapointed the dark sit is not being utilised
Paul and Kirsty Holmes says
me too, but logistics
if we go to dark site and weather bad, there's no backup plan
Brian says
that can be unoffical at end of event2 ? just not announced on BBC
guess we cant easily announce a dark site - none of us might be at ?
Paul and Kirsty Holmes says
and we cannot do "weather permitting" events as part of SL
Brian says
bye bye
Paul and Kirsty Holmes says
they must be definite, confirmed, no matter what
yes, we can do dark site event
just not as part of SL

Solar B has left the conversation.

Paul and Kirsty Holmes says
geoff, maybe you could propose some details (time, date etc) for dark site visit
but i don't think it can be part of SL
bob says
ok guys, catch you later
Paul and Kirsty Holmes says
unless we can get portakabin set up for backup
cheers bob
still there geoff?
Geoff Ruzgar says
yes
jsut think we missed a trick to show everyone the real sky not just jupiter or moon
Paul and Kirsty Holmes says
well, yes
it's something we should do as soon as we can
Geoff Ruzgar says
I think the beeb will show more than jupiter and moon and so should we
anyway looks like decision made

bob has left the conversation.

Paul and Kirsty Holmes says
we should do a dark site event
i agree
but without a building at the site
we can't have a plan B for bad weather
and for SL, the event must be definite
Geoff Ruzgar says
so you advertise junior observing at the kabin till 8 and dark site for adults later or cancelled due to bad weather. BUT all club members tio attend
Paul and Kirsty Holmes says
monday - we want to finish before 8 cos that's when the programme starts
friday - we can't begin before 7.45 cos kabin is booked for dance class
8pm gives us a 15 minute margin
Geoff Ruzgar says
maybve thats where I differ from the restof DBASTRO I am willing to travel, put up with hardships and not worry about being warm or cossetted for My Astronomy
There is no substitute for good skies and the Kabin just doesn;t have them
Paul and Kirsty Holmes says
if we can get a dark site event arranged, i'll be there, and i think most of the regulars will too
inviting first-timers is a different thing
Geoff Ruzgar says
I hope so because the record so far is me and BWH
But you said £50 was up for grabs so why not a minibus to relay them
I really think this would be a superb opportunity
Paul and Kirsty Holmes says
could the dark site add-on start a bit later, say after 9
Geoff Ruzgar says
However I'm just one voice among many
Paul and Kirsty Holmes says
then we could say 8-9, kabin
then off to other location
escorted by us
if first-timer isn't at kabin by 9, they've missed the bus
Geoff Ruzgar says
I agree
we could get a generator and offer hot drings
or even drinks
Paul and Kirsty Holmes says
ok
i will support it
but it's your baby
so you need to sell it to the other regulars
Geoff Ruzgar says
fear not I will
Paul and Kirsty Holmes says
use the forum thread
bear in mind that no matter what, I have to make the SL submission to the beeb this week
Geoff Ruzgar says
can we spend a few shekels I have an idea
Paul and Kirsty Holmes says
or they will shut us out
fire away
Geoff Ruzgar says
make the submission
i will enquire tio get a guest for the dark party expenses only for a well known astronomer
poss max £50 I will put up the rest
Paul and Kirsty Holmes says
i'll go halvers with you on the dosh
but you have to lead it and sell it to the others
Geoff Ruzgar says
ok deal i will start enquiry tomorrow
Paul and Kirsty Holmes says
since the others have signed off, is it ok with you if i put this whole discussion (including the bit with just you & me) onto the SL thread?
Geoff Ruzgar says
yep no probs
Paul and Kirsty Holmes says
ok, will do
bye for now
Geoff Ruzgar says
ok paul gotta go now will be in touch soonest
Paul and Kirsty Holmes says
ttfn

Event 1 - Monday 3rd January, Kabin, 4pm - 7pm
Event 2 - Friday 7th January, Kabin, 8pm - 9pm followed by off-site excursion if weather permits

Re event 2, we can talk about what the off-site excursion is later.
Geoff and Bob - I'm sure you'll both have input.
